How to book into Vacation Care

Your step by step instructions


Step 1 : Complete the online Vacation Care booking form:

  • You can find the vacation care booking form above when bookings open.

  • One form is required for each child. 

  • Once completed, our admin team will process bookings manually into Xplor.

Step 2 :  Allow time for your booking to be processed. When the booking is confirmed the date will show as booked in your Xplor app

Head to your xplor app:

  1. Along the bottom of the screen tap on the Bookings [Calendar] Icon.

  2. Navigate to the month/days you requested.

  3. Where you see a bold orange circle, on the days you requested, this is confirmation that day is booked in.

  4. Alternatively, between the Bookings icon and the Calendar , swipe the screen upwards ^^^ . This shows your bookings, by date and child name, in a list. The Vacation Care days will appear in this list, when the booking is confirmed by us.

  5. If your child is on the waitlist for an excursion, they will be booked into the day for the opposite cohort. They may still attend the Vacation Care incursion, but will only attend the excursion if there other children are absent on the day. Please keep your phone on in this case, as we will contact you to check if your child has permission to leave the school.

Please check the Xplor app for confirmation of your booking as we do not send out email or SMS confirmations. Accounts must be settled before we can process your booking, and the full day will be charged if bookings are not cancelled by the cut off date.

Bookings

Vacation Care bookings are separate to your permanent bookings. For families new to Vacation care, follow the step-by-step instructions below: How to book into Vacation Care.

If you are not enrolled at the Centre, you will need to also enrol your child before booking in a Vacation Care day.

What to pack

Each day you'll need to bring these items. Remember to name and label all personal items.

  1. Wide brim hat

  2. Drink bottle

  3. Healthy morning tea and lunch (we will provide afternoon tea + late snack)

  4. Enclosed shoes - No thongs.

  5. Sun safe clothing- No singlet straps.

  6. Check the day notes for specific activity items

 

Risk Management Plans for excursions are available upon request

Sun safety

Please ensure your child wears sun-smart clothing. A hat that will protect their face, ears, and neck. A shirt that covers shoulders and neck.

Remember to apply sunscreen before you arrive, or at drop off. Sunscreen is available at the centre for you to use, and educators will reminder children during the day

Vacation Care FAQ

What if I need to cancel my booking?

Cancellations of bookings will need to be notified via email (info@coogeecarecentre.org.au) a minimum of two weeks before the first day of vacation care to ensure you are not charged for the day/s you wish to cancel. Any cancellations of days after this date and time will still incur the normal Vacation Care Charge.


I need to book more days. How do I add extra days to my booking?

To book extra days follow the steps listed above to submit another form, choosing only the EXTRA days you need to book. Select “N/A” for all days not applicable to this second booking. This form will be considered in the order it’s received.

Your original booking won’t change, unless you request to cancel any of those days.


What if I missed out on the day I wanted?

We will email you to talk about your options. Due to the nature of excursions and transport there is a cap on the maximum number of kids who can attend some of the activities.  If your child misses out on the excursion, they can still attend the In Centre activity.  And your child can be placed on a waitlist, in the event another child cancels or is absent on the day.


Why am I being charged when my child didn't attend the day?

We understand plans change and things come up. At Coogee Care we try to be as flexible as possible.

During vacation care, the booked excursions, buses and rostering of staff, all incur a fixed cost to the Centre. When we have moved past the cancellation date, the Centre is charged the agreed amount. We allow families until the Monday before holidays begin, to cancel any bookings without charge.

After this date, we appreciate you letting us know if you won’t use the spot, so that we can inlcude another child, from the waitlist.

At Coogee Care, we charge a flat fee for each day, no matter if it’s an excursion or incursion. Keeping the costs low and fair for all families. Sometimes, the excursion costs are higher than the fees charged to those families attending the activity. We’re able to do this, because we are a NFP, community focussed Centre and we believe all children should have the opportunity to share the same experiences.
